ADMINISTRATOR – open 10/8/21

The Administrator plays a critical role in supporting the organization’s operations, which include a church, a preschool and event facilities. Our licensed preschool has 34 students, managed by a director and 5 teachers. Candidate should be self-motivated and enjoy working both independently and with people. Must be comfortable wearing multiple hats in an intimate work environment. Seeking previous experience managing an office, excellent writing and speaking communication skills, strong attention to detail, and outstanding problem-solving skills. Candidate should be proficient with both Mac software, Microsoft Office Suite, and Google Suite. Experience with WordPress, Mail Chimp, and Quickbooks are a plus. The position reports to the Pastor, overseen by the volunteer Church Council, composed of congregants. Candidate should be interested in working in a progressive church and faith community. Create strategies for website SEO and attracting new congregants. Monitor and communicate about changes in HR practices, working with HR consultant. Make recommendations about technology updates and best practices. Develop or participate in learning activities to learn best practices with other church administrators.

Position is full-time, non-exempt (entitled to over-time) up to 35 hours per week. Some flexibility with working hours (start and finish). The job will be mostly in the office, with flexibility to work from home up to 40% of the time. Salary commensurate with experience. Church Communications

-Prepare weekly newsletter, solicit changes, and distribute via Mailchimp.

-Prepare order of worship, including music licensing through One License.

-Solicit and confirm weekly worship volunteers

-Assist Pastor with flyers, presentations, surveys, spreadsheets, data collection, stewardship and tracking of new members and guests.

-Update master calendar for Church in cloud (Google Suite) as well as Google Calendars.

-Build active, engaging ongoing presence with external social media sources with the goal of drawing in recent visitors, track and review data on effectiveness, updating to meet church goals of outreach, growth and impact. (Facebook, NextDoor, Youtube, Instagram, LinkedIn).

-Monitor and manage inquiries and feedback from the website and social media in a timely manner.

-Maintain directory, track donations, and deliver giving statements and using ChurchTrac database

-Support service teams and Church Council in meeting preparations, agenda distribution and upload and order documents to cloud drive (Google Suite).

Website Content Management

-Utilize WordPress to update church website regularly with new content (banners, event posts, monthly schedule, weekly bulletins).

-Work with volunteers to ensure members section is updated.

-Conduct content audits to eliminate unneeded redundant and/or duplicate information.

-Manage inquiry forms and route communications; work to improve pastoral care, visitor, events inquiries, contracts, FAQ and welcome forms sections,

-Utilize Google analytics tools to build brand awareness and website traffic. Collaborate with pastor, church lay leaders and other staff to ensure website aligns with goals.

-Monitor other church websites and social media for ideas to share with Pastor and Council.

-Coordinate with the webmaster on any complex updates (back-end manager)



-Respond to emails and web inquiries.

-Recruit and schedule volunteers as needed

-General office management including filing, answering phone, ordering supplies, receiving mail, etc.

-Supervise, mentor, train and coach office support volunteers. Delegate assignments to ensure maximum productivity.

-Greet visitors and occasionally conduct campus tours

-Manage buildings and grounds maintenance and operations, contracting vendors as needed, and order supplies

-Track due dates for annual contract renewals (property, medical, pension, insurance, etc.)

-Oversee general office equipment and campus utilities

-Order and install banners

-Respond to preschool parent needs, and manage preschool enrollment, billing, and reporting in Curacubby database


Human Resources

-Manage policies and coverages (healthcare, insurance, human resources, etc.) with Skyline Church Council.

-In the event of an insurance claim, assist with response by preparing appropriate documentation.

-Post and reply to job openings

-Onboard new employees and update employee records as needed

-Update employee handbooks as needed and see that employees adhere to policies

-Process payroll twice a month

-Work with the auditors to provide reports for yearly worker’s compensation audit


Event Support

-Supervise Event Coordinator in planning and executing outside rental events

-Process and track finances related to all events

-Evaluate and advise on feasibility of nonprofit and outreach partnerships aligned with ministry

-Coordinate volunteers, tours, agreements, promotion, cleaning, logistical meetings, and planning for nonprofit and outreach opportunities aligned with ministry

-Occasionally assist with audio-visual needs, set up, break down, and hosting of events during work hours.



We seek a part-time, Audio-Visual Technician, with proficiency in Zoom conferencing, and experience with sound and video media production, to manage live-streaming and house audio for services and special events. Services are Sundays, 9:00am set up, 10-11am worship. Occasional online and live events may be additionally offered. Located in the Oakland hills at 12540 Skyline Blvd, Oakland, CA 94619, limited public transportation is available, but personal transportation is strongly encouraged. Compensation $25 per hour.
